"Thanks, We Got Your Message" Isn't an Answer: Fixing Rental Inquiry Auto-Replies

TL;DR

  • An instant auto-reply wins the response-time race and can still leave the renter asking: is it available, do I qualify, when can I see it?
  • How to turn the first text into a real answer and a booked next step.

"Thanks, We Got Your Message" Isn't an Answer: Fixing Rental Inquiry Auto-Replies

A renter messages about your two-bedroom at 9:40 PM. Twelve seconds later, they get a text back: "Thanks, we received your message. Someone will reach out soon."

On a response-time report, that looks perfect. To the renter, it says almost nothing. They still don't know when they can see the place or what happens next, so they message the next listing.

This guide is for rental agents, property managers, and landlords who already have an instant auto-reply set up on a portal, a website form, or a texting tool. It covers why acknowledgment isn't the same as an answer, what a useful first reply contains, and how to rewrite yours this week.

Three clocks, not one

In a recent BiggerPockets thread about tracking response times on leasing inquiries, Michael Eskenasy, an investor in the Pacific Northwest, suggested measuring a reply in three stages (BiggerPockets, "Tracked response time on 200 leasing inquiries"):

  1. Time to acknowledgment: how long before the prospect knows someone got the message.
  2. Time to useful response: how long before they get the answer they actually need.
  3. Time to next action: how long before they can book a showing, share their details, or otherwise move forward.

"Those are not the same thing," he wrote. "An automated 'Thanks, we received your message' in 12 seconds technically gives you a fantastic response time and may accomplish almost nothing."

His test for a good first reply: the prospect should never be left wondering "Is this available?" "Did anyone get my message?" "When can I see it?" "What do I need to qualify?" or "What happens next?" The routine answers should come right away, and anything unusual should go to a person.

Why acknowledgment-only replies are so common

Acknowledgment texts are easy to set up, and they're often the default. A 2020 BiggerPockets blog post by landlord Aaron Kinney describes a typical setup: when a renter submits a guest card on a portal like Zillow, they get an automated email and text "stating that we've received their info and will reach out to them soon," plus a link to the rental application (BiggerPockets blog, "How We've Automated Much of the Follow-Up With Potential Tenants"). That's a reasonable start. The gap is the hours between that text and a person actually answering.

Renters don't wait in one place during those hours. In Zillow's 2025 Consumer Housing Trends Report, the typical recent renter who searched online used five rental sites or apps (Zillow Research, Oct 27, 2025). An older Zillow survey found that 71% of renters who ask about a listing expect to hear back within 24 hours, but only about half (51%) said they get the timely responses they expect (Zillow Rentals, May 22, 2019). That survey is several years old, but the advice in it still holds: "Answer all their questions."

What renters are actually trying to find out

Most first messages ask some version of the same things. Zillow's 2025 report gives a sense of what matters most when renters decide where to rent: 93% call staying within their budget essential, 81% their preferred neighborhood, and 81% the number of bedrooms. 59% of recent renters said seeing lease terms, rent, and fees is essential, and 55% said the same about taking a private tour (Zillow Research).

So a useful first reply covers three things:

  • The facts they asked about, from the listing: rent, bedrooms, the neighborhood, and the pet policy or parking if your listing states them.
  • One or two quick questions to see if it's a fit: budget, move-in date, bedrooms, area, pets.
  • A real next step: two or three actual showing times they can say yes to right in the thread.

Drew Sygit, a property manager in Royal Oak, Michigan, wrote in the same thread that automating responses and letting prospects schedule showings online handles 70–80% of the call and email inquiries his office gets. That's his own estimate, not a study, but it matches the point: the reply that books the showing does the work. Another reply in the thread, from Andrea Fernandes, put it simply: for evenings and weekends, "even a same-channel auto-reply confirming a showing time beats a great response two hours later."

Rewrite your auto-reply in four steps

  1. Read your current auto-reply as a renter. Does it answer anything? If it only says "we got it," it wins the first clock and nothing else.
  2. Put the answers in it. If your tool can pull the listing details, include rent and bedrooms. If it can't, link the listing and the application, and say exactly when a person will reply ("by 10 AM tomorrow"), not "soon."
  3. Ask one fit question. Move-in date or budget is enough. Keep it to the things you'd ask anyone: budget, move-in, bedrooms, area, pets.
  4. Offer real times. If you show the unit, give two or three open times from your calendar, or a booking link. A renter who books tonight has a reason to stop searching.

Here's the difference, side by side:

Renter (9:40 PM): Hi, is the 2 bed on Wolcott still available? Can I see it this week?

Acknowledgment only: Thanks, we received your message. Someone will reach out soon.

Useful reply: Hi! The 2 bed on Wolcott is $1,850/month in Ukrainian Village. The agent confirms current availability, but I can set up a showing. When are you hoping to move?

Renter: December 1.

Useful reply: Great. I have Thu, Nov 5 at 5:00 PM or Sat, Nov 7 at 11:00 AM. Which works?

(Example only. The listing, rent, and times are made up.)

Where Sarah AI fits (and where it doesn't)

Sarah AI is a 24/7 SMS assistant for Chicago real estate agents, property managers, and landlords. It's built for the second and third clocks, not just the first:

  • It replies to every text on its number, day or night, and says it's an AI assistant if asked.
  • It answers from your listings. Sarah matches listings from your Google Sheet and shares up to three, one line each (address, beds, rent). It only states details that are filled in on the sheet. Pet policy, parking, and lease terms are quoted exactly as written, and only when those fields are filled.
  • It asks only fair, practical questions: budget, move-in date, bedrooms, area, pets, and a showing time. It never asks about family, source of income, credit, or criminal history.
  • It offers real showing times from your Google Calendar and books the one the renter picks, then sends a reminder the day before (reply C to cancel, R to reschedule).
  • It alerts you by text, and by email if you add one, when a showing is booked or a lead needs you.
  • It hands off what needs a person: screening, fees, deposits, application steps, negotiation, service or emotional support animal requests, and legal questions go to the agent.

What Sarah doesn't do: it doesn't confirm that a unit is available today (the agent confirms current availability and move-in dates), it doesn't take phone calls, and it doesn't sync with a CRM. It works on its own text number, not inside a portal's message center, so put that number on your listings and signs.

FAQ

Is an instant auto-reply bad for rental inquiries?

No. An instant reply is better than silence, because the renter knows the message arrived. The problem is an auto-reply that only acknowledges. If it doesn't answer the question or offer a next step, the renter keeps searching other listings while they wait.

What should a rental inquiry auto-reply say?

The facts they asked about (rent, bedrooms, neighborhood), one quick fit question like move-in date or budget, and a next step: a few real showing times, a booking link, or an exact time a person will reply. "Someone will reach out soon" isn't a next step.

How fast should I reply to a rental inquiry?

As fast as you can with a real answer. In an older Zillow survey, 71% of renters who asked about a listing expected to hear back within 24 hours, and only 51% said they got the timely responses they expected. In a BiggerPockets thread, one practitioner said that for evenings and weekends, even an auto-reply confirming a showing time beats a great response two hours later.

What questions can I ask a renter by text before a showing?

Stick to practical, fair questions: budget, move-in date, bedrooms, preferred area, pets, and a showing time. Avoid questions about family, children, source of income, credit, or criminal history in the first texts. Screening is a separate step with your written criteria. (This isn't legal advice.)

Does Sarah AI confirm a unit is available?

No. Sarah answers from the details on your Google Sheet and offers showing times from your Google Calendar, but the agent confirms current availability and move-in dates. Anything about screening, fees, or legal questions is handed to the agent.
